AI pricing comparison

AI pricing checks that show you every changed line

When a contractor resubmits a price or a payment claim, the total can look the same while rates move underneath it. We set up a workflow that compares submissions line by line and lists every difference, so a person decides what to accept.

Where this time goes

  1. Hundreds of lines

A priced bill or a payment claim runs to hundreds of lines, and checking them by eye takes days.

  2. Totals that hide changes

A total that matches the last submission can still hide rates that went up in one section and down in another.

  3. Two formats

Each submission arrives in its own layout, so lining them up is a job before the checking starts.

  4. Hard to explain later

Without a written record of what changed, it is hard to show why a figure was queried.

How the workflow runs

  1. Load both submissions. The earlier and the new pricing, or the claim and the contract rates.
  2. Line them up. Items are matched across the two, even when the layout differs.
  3. Compare every line. Quantities, rates, section totals and adjustments are checked against each other.
  4. List the differences. A report shows each change, including ones that net out in the total.
  5. A person decides. The project manager or quantity surveyor reviews each difference and decides what to accept or query.

Example

Our own practice · internal use

Two pricing submissions, one total, many changed rates

This workflow was built for our own construction project management practice and is used internally. It is not a client engagement.

The task was to establish what changed between two contractor pricing submissions. We built a line-by-line comparison of quantities, rates, section totals and adjustments. The result was a report showing where rates changed, even though the overall submission total stayed the same.

This describes what was built, not measured results.

What stays with your team

  • The decision

What to accept, query or reject stays with the person responsible.

  • The contract

The workflow reports differences. It does not interpret the contract.

  • The figures

Your source documents are never changed.

  • Professional sign-off

Certification and valuations remain with the authorised professional.

Questions

Does the AI approve the price or the claim?
No. It lists every difference it finds. A person reviews each one and decides what to accept.
What if the two submissions use different layouts?
Matching the items across layouts is part of the workflow. Lines it cannot match are flagged for a person.
How is commercial information handled?
We scope authorised sources, access limits, approval points and human review. Data handling and platform suitability must be checked for the specific use. These controls do not guarantee compliance or replace professional judgement.
