AI CRM updates

AI that keeps your contact records up to date

A CRM is only useful when it is current, and keeping it current is the job that slips. We set up workflows that turn lead lists and meeting notes into contact records, notes and dated follow-ups, and a person approves every change.

Where this time goes

  1. Notes that never get typed up

What was said in a meeting stays in a notebook instead of on the contact’s record.

  2. Follow-ups that slip

Agreed next steps are not set as tasks, so they are forgotten.

  3. Lead lists in spreadsheets

New leads arrive as spreadsheets that someone has to research and enter by hand.

  4. Duplicates

The same person ends up in the CRM twice, with half the history on each record.

How the workflow runs

  1. Capture the input. A lead list, or a short typed or spoken summary after a meeting.
  2. Check what exists. Existing records are looked up first, so duplicates are not created.
  3. Prepare the update. A contact record, a meeting note and the agreed next steps.
  4. Set the follow-ups. Next steps become dated tasks, with draft emails where they help.
  5. A person approves. Every change is reviewed before it is saved, and people send every email.

From lead lists and meetings to an up-to-date CRM

A property business received leads as spreadsheets. We built a workflow that researches contacts, checks for duplicates, updates the CRM and tracks progress in the source spreadsheet. We operated it and delivered completed spreadsheets and populated CRM records.

We are now setting up the same pattern for a conservation non-profit: notes after every funder and partner meeting, follow-ups as dated tasks and investor and collaborator lists kept current, with the team approving each change.

This describes what was built and what is being set up, not measured results.

Questions

Which CRM does this work with?
That is checked in discovery. The examples above used the CRM each client already had. Supported systems and integration feasibility are assessed before any scope is agreed.
Will it change records without asking?
No. Updates are prepared for a person to approve before they are saved.
How is contact information handled?
We scope authorised sources, access limits, approval points and human review. Data handling and platform suitability must be checked for the specific use. These controls do not guarantee compliance or replace professional judgement.
